Keeping important documents easily accessible is essential for parents, staff, and students. With Onespot, you can upload PDFs, link Google Drive files, or integrate a Google Docs spreadsheet to manage documents efficiently.


Method 1: Create a New Screen for Important Documents


Step 1: Create a New Screen

  1. Open your Onespot Admin Panel.
  2. Click New Screen, then select Important Docs as the screen type.
  3. Set access restrictions if you want certain documents visible only to specific user groups (e.g., staff-only documents).

Step 2: Add and Link Documents

  1. Click Add Content inside the screen.
  2. Upload PDFs directly, or paste links to Google Drive files, OneDrive, or Dropbox.
  3. Customize the document list as needed.
  4. Click Save, and users will now be able to access important documents directly from the app.

Method 2: Using Google Docs for Easy Document Updates

Instead of manually updating documents in Onespot, you can connect a Google Docs spreadsheet for real-time updates without editing the app itself.


Step 1: Create a Google Docs Spreadsheet

  1. Open Google Sheets and create a new spreadsheet.
  2. Add two columns: Document Name and Document Link.
  3. List all important documents along with their corresponding viewable links.

Step 2: Connect the Spreadsheet to Onespot

  1. In your Onespot Admin Panel, go to Important Docs.
  2. Instead of uploading files, paste the Google Sheets link as a web link.
  3. Make sure the spreadsheet is set to “Anyone with the link can view” in Google Drive.

Step 3: Updating Documents Easily

  • Whenever you need to update or add new documents, simply edit the spreadsheet—changes will reflect automatically in the app.
  • No need to log into Onespot Admin Panel to make updates.
