Setting Up Private Family or Staff Group Chats in Onespot

Need a way to manage private conversations between multiple parents or staff members? Onespot makes it easy to create small, selective group chats — perfect for split households, leadership teams, or specific staff groups — while keeping your home screen clean and organized.



Step-by-Step: Create Private Group Chats

🔹 Step 1: Create a New Group Chat

  1. Go to your Onespot Admin Panel.
  2. Create a New Screen → Select Group Chat.
  3. Name your group clearly (e.g., Swift Family Group Chat).

🔹 Step 2: Add Specific Members

  • Manually add the users who should be part of the chat:
    • Example: Add Taylor Swift and Samuel Swift as the parents for this chat.

      Then restrict access:

    • Set to “Only users in this chat have access.”
    • This ensures only selected members (and admins) can see or post in the chat.

🔹 Step 3: Repeat for Additional Groups

  • Create another group chat if needed.
    • Example:
      • Create Timberlake Family Group Chat.
      • Add Justin Timberlake, Dwayne Johnson, and Samuel Timberlake.

Each group chat is kept completely private between only its designated members and admins.


🔹 Step 4: Clean Up Your Home Screen (Optional)

Over time, if you create many private chats, it can clutter your home screen. To organize better:

  1. Create a New Screen called something like Admin Family Group Chat Directory.

    Restrict this screen to admin-only access (example: to the "App Admin" account type).

    Add Navigation Buttons on this screen that link to each private group chat:

    • Button 1 → Navigate to Swift Family Group Chat
    • Button 2 → Navigate to Timberlake Family Group Chat

This keeps your home screen clean, while still giving you quick access to all group chats.


🔹 Step 5: Managing & Viewing Chats

  • Once you start conversations:
    • You’ll also see all chats you’re a member of under Chats and Feeds (in the notification area).
    • You no longer need the direct group chat buttons on your home screen if you prefer using the feed view.

Admins can either:

✅ Access chats through the admin directory portal

✅ Or find all active chats directly under Chats and Feeds
